Ordersys spa software tracks prepaid treatment packages, books by room and bed, keeps skin records with photos per session, calculates technician commission and reminds clients to come back automatically.
Sell 5, 10 or 20-session packages; the system deducts a session the moment it is done. The owner sees how many sessions are still owed and what they are worth, without mixing package sales with delivered revenue.
A spa has a limited number of beds and machines. Bookings are placed by technician and by room; a clash is flagged immediately. Clients book online and Zalo reminds them before the appointment.
One record per client: initial condition, allergies, products used, before and after photos for every session. Another technician can take over and still know where the client is in the treatment.
Commission by sessions delivered, package sales or retail sales, with a statement per technician. Clients nearing the end of a package or due for a follow-up are reminded automatically.
A generic POS records revenue but does not understand treatment packages. Four things Ordersys does specifically for spas:
Selling a 10-session package brings in 5 million today, but the remaining 9 sessions are labour and supplies the spa still has to provide. A generic POS books 5 million and stops; Ordersys recognises each session as the client uses it, so monthly reports reflect work actually done.
A free technician is not enough — there has to be a free bed and a free machine. Ordersys schedules all three, so clients never sit waiting because a room was double-booked.
Spa clients return many times over months. You need the whole story: the skin at the start, what was done, how it reacted. Individual invoices cannot tell it.
A client with three sessions left who has not been back in two months is about to be lost. Ordersys lists them every week for reception to call, or sends a Zalo reminder automatically.
The morning screen shows the schedule per room: which client, which treatment, which technician, which bed is free in which slot.
Reception opens the record: sessions left, what was done last time, any allergy notes. The client does not have to repeat anything.
The technician photographs the result, logs products used and deducts one session from the package right on the phone. Retail purchases go on the same ticket.
Revenue split by cash, card and transfer; commission per technician already calculated; the list of clients to remind for tomorrow.
First, can sessions be deducted in the treatment room, or does someone have to go back to the desk? The number of sessions left is the most forgotten and most argued-over figure in a spa. If the technician cannot deduct it on a phone the moment the session ends, the system and the client’s memory will drift apart.
Second, do reports separate money received from services delivered? Spas sell a lot of prepaid packages; looking only at cash in, a month with many package sales looks hugely profitable and a month where clients redeem old packages looks like a loss. The number you actually need for deciding on a package promotion is how many sessions you still owe.
Third, are e-invoices issued inside the software? For prepaid packages the invoice date is the date money is received, so spas selling many packages reach the mandatory threshold sooner than owners expect. Ordersys issues the e-invoice at the payment screen, tied to the order just paid.
