Nail, spa and hair salons each need different handling

They are all beauty businesses, but pricing and technician payout work very differently. Ordersys is configured per model instead of forcing one template on every shop.

Nail salons

Prices change with the design and its difficulty; the same set costs more once stones or hand painting are added. The price list needs the base service and the add-ons separated so every technician quotes the same, and so you can see which designs customers ask for and which ones take a lot of work for little money.

Spas and skin care

Most revenue comes from prepaid multi-session packages, so the key thing is knowing how many sessions each customer has left and which ones are done. Rooms and beds are limited, and a double booking means someone waits — the calendar has to schedule by room as well as by technician.

Hair salons and barbers

Lots of walk-ins, short services, many turns per chair per day. The tricky part is that one customer usually passes through two people — the stylist and the assistant who shampoos — so commission has to split across several people on the same bill.

Aesthetic clinics

Each case is high value and customers rarely commit on the first visit; it usually takes several consultations. The customer record therefore has to hold the whole consultation history, the initial condition and photos at each stage, so the next person to speak with the customer does not start from zero.

Opening

The morning screen shows today’s bookings by time slot: who booked, which service, which technician, which chair or room is free. One glance tells you where you are full and where you can still take a walk-in.

Customer arrives

Checking a customer in brings up their history: what was done last time, by whom, which products were used, how many sessions remain on their package. Technicians do not re-ask what the customer answered last month, and regulars feel remembered.

During service

Record the lead technician and the assistant, add any extra service straight onto the ticket. If the customer is on a package the session is deducted right there rather than written up later — the step most often forgotten, and the one that causes most arguments with customers.

Closing the shift

The system totals revenue by cash, card and transfer, with each technician’s commission already calculated from the rules you set. Staff can see their own share for the day; the owner does not add it up by hand at month end.

Money from package sales is not money you have earned yet

A shop sells a ten-session package and collects five million that day. The monthly report looks great, but the remaining nine sessions are labour and supplies the shop will spend over the months ahead. The cash is in the drawer; the work is not done.

If you only record total cash in, a month with strong package sales looks highly profitable and a month when customers come back to use old packages looks like a loss — even though nothing really changed. And if a technician quits mid-way, the customer’s package still has to be honoured.

Ordersys separates the two numbers: cash collected and service value delivered. Every session a customer uses deducts one session and records the revenue for that session. The owner can see how many sessions are still owed and what they are worth — that is the number to look at before running another promotion to sell more packages.

E-invoicing under Decree 70/2025

From 01/06/2025, household businesses with revenue of 1 billion VND a year or more selling directly to consumers must issue e-invoices generated from a cash register. Beauty businesses sell services straight to retail customers, so they fall under this rule once they hit the threshold.

For prepaid packages the invoice date is when the money is received, not when the last session is finished — so shops that sell a lot of packages often reach the threshold sooner than the owner expects. Ordersys issues the e-invoice right at the payment screen, tied to the order just paid, so sales figures and invoice figures always match.
