Choosing a POS system in Vietnam: five questions before you sign

Choosing a POS in Vietnam is not the same as choosing one at home. Before you compare feature lists, there are five questions that decide whether the system will actually work for you here.

The five questions

  1. Does it issue cash-register e-invoices? Household businesses with annual revenue of 1 billion VND or more are in scope, and switching systems later is the most expensive way to comply. See e-invoice requirements.
  2. Can you still sell and print if the internet drops? And does the data reconcile automatically once the connection returns? Ask before you sign, not during a busy Friday.
  3. Do cancellations and discounts record who did them? Without that, no report from the system can be trusted.
  4. Can you export your own data to a file? If the answer is vague, that is the answer.
  5. Does someone come to your site to install and train? Remote-only support is fine until peak hour.

Switching the whole system to English is not the win it looks like. An English sales screen causes mistakes for Vietnamese staff who use it a hundred times a day. What you want is a system that separates language by screen, not one global setting.

Three things specific to Vietnam

  • QR payment is everywhere. Check the POS reconciles bank transfers automatically rather than making a cashier confirm from the customer's phone screen.
  • Staff turnover is high. A system a new hire can learn in one shift is worth more than one with twice the features.
  • Multi-branch is common and cheap here. Ask what a second location costs before you need one.

The last question to ask

"It is 8pm on a Friday and something breaks — how long until a person is here?" The answer to that predicts your real experience far better than the length of any feature list.
